Form Maintenance Overview

Learn how to set up and maintain Candidate Registration Forms in Maintenance Module

Form Maintenance is a great tool for independently registered candidates (not from Advertised Job Boards). This form would support the consultant in candidate screening and filtering.

📌 Note: Users need specific security permissions to access these components.


Key Areas Requiring Permission:

  • Forms (from Questionnaire Module).

  • Registration Pages (Recruitment Manager Module).

  • Form Responses (within Candidate record).


How to create the Registration Form(s):

  1. Navigate to the Maintenance Module on the left-hand side pane.

  2. Go to the Questionnaire Section & click on the Forms icon.

  3. In the result bar, click the plus (+) icon to create a new Form.

  4. You will then have the option to Add New Question, Copy & Paste Question, and Delete Question

🤓Tip: You can simple mark the question as mandatory by choosing the question and ticking Mandatory box.


Configuring the Registration Page:

In the left hand side panel, navigate to Recruitment Manager, go to Maintenance and click on Registration.

Within the Registration Page, item the following information / settings are applied:

Registration Form(s)

Select the specific form(s) the Candidate must complete.

Must be created beforehand in the Questionnaire Module.

Username Format

Defines how the Candidate's new Portal User Username will be established.

Examples: Candidate ID, Email address.

Duplicate / Redirect Message

The message displayed to the Candidate if the system detects an existing (duplicate) record.

A critical setting for user experience.

Registration Email Template

Attaches the email dispatched upon successful registration.

A 'Username' Merge Tag is available to include the new username in the email.

Default Settings

Selects the default settings to apply to the new Candidate's record.

Crucially includes the Security Role, which dictates Portal access.

Style Sheet

Allows for amending the default theme to align with brand requirements.

Used for theming/branding the page appearance.


Registration Page Settings

Duplicate or Redirect Message

Specify the message shown to a candidate when a matching record is found during registration.

Registration Email Template

Attach the email template sent to candidates upon successful registration.

  • A merge tag is available for Username, allowing you to include this detail in the email sent to the candidate.

Username Format

Choose how usernames are generated for new candidate portal accounts, such as using the Candidate ID or Email.

  • Candidates create their own password during registration.

Style Sheet

Apply or customise the style sheet to align the Registration Page with your branding.

Resume Parsing

Enable resume parsing to allow the system to extract data from an uploaded résumé into mapped form fields. This requires a mapped question for Resume.

Default Settings

Select the default settings applied to the newly created candidate record, including the Security Role, which controls access within the Candidate Portal.

Registration Forms

Choose the forms created in the Questionnaire Module to include on the Registration Page.


What Happens When a Candidate Registers

  • The system checks for duplicate records and displays the duplicate message if a match is found.

  • If approved, the candidate’s information is imported into the FastTrack database and a candidate record is created in Recruitment Manager.

  • The Registration Email is sent to the candidate using the selected Registration Email Template.
