Access Timesheets on Mobile Devices

Access and manage Time & Attendance timesheets on mobile devices, including viewing available, incomplete, rejected, submitted, and expired timesheets, and using delegation where permitted.

Use this article to access, navigate, and manage Time and Attendance timesheets on mobile devices, including viewing different timesheet statuses and using available actions such as submit, approve, expire, restore, delete, and delegate.

⚠ Important: You must have access to the mobile Time and Attendance application and the relevant security permissions (for example, Expire, Restore, Delete, and Delegation) to see and use these options.

📌 Note: Mobile Timesheets is available on common mobile devices, including iPhone, iPad, Android phones, and Android tablets.


Log In and Navigate the Mobile Timesheets Home Screen

  1. Open the Mobile Timesheets application on your mobile device, then log in using your usual Time and Attendance credentials.

  2. After login, review the Timesheet Home screen, which shows grouped lists for Available, Incomplete, Rejected, Submitted, and Expired timesheets.

  3. Check the number displayed next to each status to see how many timesheets are currently at that stage of the workflow.

  4. Tap a status option (for example Available Timesheets) to open the list of timesheets at that stage, then select a timesheet to view or edit its details.

  5. From the Timesheet Home screen, access your timesheet notifications if required, then return to the Home screen by using the app’s navigation control whenever you move away from it.

📌 Note: Each timesheet status represents a different stage of the timesheet workflow, from initial creation through to approval and possible rejection or expiry.


Understand Available Timesheets

  1. On the Timesheet Home screen, tap Available Timesheets to display all timesheets that are ready to be keyed and submitted.

  2. Review the list to see timesheets created for each work period when a job order is submitted to timesheet, then tap a timesheet to open it.

  3. Check whether any timesheets are prefilled based on the job schedule, then either submit them as-is or adjust where actual time differs (for example, absences or variations in hours).

  4. If you are a manager or timesheet administrator, view available timesheets for payees you manage, then decide whether you need to key and submit a timesheet on their behalf.

  5. Where your security permissions allow, expire a timesheet that is no longer required (for example, where the shift was not worked and no leave applies) so it does not need to be submitted or approved.

⚠ Important: Each available timesheet must be submitted by the required cut-off day and time at the end of the work period to ensure accurate pay and billing.


Understand Incomplete Timesheets

  1. On the Timesheet Home screen, tap Incomplete Timesheets to see timesheets that have been started but not yet submitted.

  2. Review each incomplete timesheet to confirm which entries have already been keyed and saved, then continue adding or editing details as needed.

  3. Save your changes during the work period if the timesheet is not yet ready for submission, then leave it in Incomplete status until it is complete.

  4. When all information is correct and the work period has finished, submit the timesheet so it moves from Incomplete to Submitted.

📌 Note: Timesheets saved by timesheet initiators or payees during the period are automatically stored as Incomplete, whether keyed by the payee or by a manager/administrator on their behalf.


Understand Rejected Timesheets

  1. On the Timesheet Home screen, tap Rejected Timesheets to view timesheets that an approver has rejected.

  2. Open a rejected timesheet, then review any comments from the approver to understand why it was not accepted.

  3. Correct the timesheet details (for example, hours, dates, or cost codes), then resubmit the timesheet for approval once all issues are resolved.

📌 Note: A timesheet moves into Rejected status only after it has been submitted and an approver actively rejects it.


Understand Submitted Timesheets

  1. On the Timesheet Home screen, tap Submitted Timesheets to display timesheets that have been sent for approval.

  2. Review the list to see which timesheets are awaiting approval, then open a timesheet if you need to confirm its details.

  3. If you are an approver, action submitted timesheets by approving or rejecting them in line with your organisation’s process.

  4. Keep in mind that multi-level workflows may require multiple approvals, so a timesheet can remain in Submitted status even after you approve it until all levels have completed their approvals.

📌 Note: A timesheet stays in Submitted status until it has passed all applicable approval stages in the workflow.


Manage Expired Timesheets

  1. On the Timesheet Home screen, tap Expired Timesheets to view timesheets that have been expired and are no longer active for standard keying or submission.

  2. Select one or more expired timesheets that you want to manage, then review whether they need to be restored or permanently removed.

  3. Use Restore to reinstate a timesheet if it was expired in error and the time needs to be keyed, then confirm that it returns to an appropriate active status (for example, Available).

  4. Use Delete to permanently remove an expired timesheet that is no longer required and will not need to be reinstated.

⚠ Important: You must have security permission to Expire, Restore, and Delete timesheets to perform these actions in the mobile application.


Use Delegation in Mobile Timesheets

  1. Confirm that you (Agency User or Client Contact) have permission for Delegation, then open the Mobile Timesheets application.

  2. From the appropriate menu within Mobile Timesheets, access the Delegation area to view or manage timesheet delegation.

  3. Create delegation entries to temporarily assign timesheet responsibilities to another eligible user (for example, during leave or absence), then review the start and end dates to ensure they capture the full delegation period.

  4. Edit or remove delegations when they are no longer required so that responsibility returns to the original owner.

📌 Note: Delegation in Mobile Timesheets mirrors the behaviour available on desktop, allowing Agency Users and Client Contacts with the correct permission to manage delegations directly on their mobile device.


Best Practices

  • Regularly review Available, Incomplete, and Submitted lists to avoid delays in pay and billing.

  • Encourage payees and managers to save work-in-progress timesheets as Incomplete and submit them only once all details are final.

  • Use Expired and Delete actions to keep lists tidy by removing timesheets that are genuinely not required.

  • Enable Delegation before planned absences so timesheet approval and keying continue uninterrupted.

  • Train approvers to review comments and history on Rejected timesheets to ensure clear communication and quick resolution.


FAQs

Q1: Why do I still see a timesheet in Submitted status after I approve it?

  • Answer: The timesheet may need further approvals at additional levels, so it remains in Submitted status until all required approvers have completed their actions.

Q2: When should I use Expire instead of Delete?

  • Answer: Use Expire when a timesheet is no longer needed for the current period but you may need the option to Restore it, and use Delete only when you are sure the timesheet will never be required.

Q3: Can managers submit timesheets on behalf of payees?

  • Answer: Yes, where permissions allow, managers and timesheet administrators can key and submit timesheets on behalf of payees whose timesheets they manage.

Q4: Why do some timesheets appear prefilled?

  • Answer: For certain job orders, Mobile Timesheets can prefill timesheets based on the job schedule, and you only need to adjust entries where actual attendance differs from the schedule.

Q5: How do I access timesheet notifications on mobile?

  • Answer: From the Timesheet Home screen, use the notifications option in the app to view timesheet-related notifications, then return to the Home screen via the app’s navigation controls.
