Navigate a Mobile Timesheet

Understand the mobile timesheet screen layout, including the action bar buttons, header details, and timesheet item sections used to save, submit, approve, reject, recall, and update timesheets.

Understand the Mobile Timesheet screen layout, including the action bar, header details, and timesheet item sections, and how each button behaves based on the timesheet status.


Open and View a Timesheet

  1. From any timesheet list screen (for example Available Timesheets or Submitted Timesheets), click the required timesheet in the list.

  2. View the full timesheet screen, including the Action Bar at the top, the Timesheet Header Information in the middle, and the Timesheet Items sections at the bottom.

The actions available in the Action Bar depend on the status of the timesheet you opened (Available, Incomplete, Submitted, Approved, Released, or Rejected).


Use the Timesheet Action Bar

The Action Bar contains buttons that allow you to perform different actions on the open timesheet. The table below summarises each action exactly as described.

Back

Navigates back to the previous page. This action is available for all timesheets.

Timesheet Notification

Opens the Timesheet Notification screen so you can write and send a notification message to the timesheet initiator, approvers, or escalatees. This action is available for all timesheets.

Save

Saves any changes that have been made to the timesheet. If the timesheet was opened from the Available Timesheets list, the status changes from Available to Incomplete and the timesheet is moved to the Incomplete Timesheets list. This action is unavailable for timesheets opened from the Submitted Timesheets list (status Submitted).

Submit

Changes the status of the timesheet to Submitted and moves it to the Submitted Timesheets list so an approver can approve it. This action is unavailable for timesheets opened from the Submitted Timesheets list (status Submitted).

Approve

Approves the timesheet, changing its status from Approved to Released. This action is only available for timesheets opened from the Submitted Timesheets list (status Submitted).

Reject

Rejects a timesheet that has been submitted for approval, changing its status from Submitted to Rejected and moving it to the Rejected Timesheets list. This action is only available for timesheets opened from the Submitted Timesheets list (status Submitted).

Recall

Recalls a timesheet that has been submitted for approval, changing its status from Submitted to Incomplete and moving it to the Incomplete Timesheets list so it can be edited. This action is only available for timesheets opened from the Submitted Timesheets list (status Submitted).

View Timesheet Header Information

The Timesheet Header displays information that identifies the timesheet you have opened. It can show and/or allow keying of:

  • The name of the client who owns the job.

  • The type of timesheet rates (for example Agreement Rates or Standard Rates).

  • The job order code.

  • The cost centre code (where applied).

  • The order by contact name.

  • The start date of the work period.

  • The end date of the work period.

  • The Timesheet Code field.

The Timesheet Code is a unique code that identifies each timesheet. Depending on the job order:

  • You may be required to key in a timesheet code before the timesheet can be saved or submitted.

  • The code format is determined by your configuration (for example, it may include parts of the payeeโ€™s name and the week number).


Work with Timesheet Items

The Timesheet Items section is divided into sub-sections that allow you to view and add different types of items on the timesheet:

Section

Description

Attendance

View and edit information about each shift worked during the work period, including shift start and end times, breaks, and project codes.

Manual Items

View and edit information about standard rates items that apply to the job, and additional items such as allowances that the payee may have claimed for the period.

Reimbursements

View and edit information about any reimbursements being claimed for the period.

Attachments

View and edit files attached to the timesheet, such as medical certificates or copies of receipts for reimbursement claims.

Comments

Allow timesheet initiators and approvers to add comments to a timesheet, which can also be seen in the interpreter.

To work with items:

  1. Click the expand arrow (/) next to a section (for example Attendance or Reimbursements) to view the items in that section.

  2. Click the Add icon next to the relevant section to add new items to that part of the timesheet.

โš  Important: You cannot edit or add timesheet items if the timesheet has been opened from the Submitted Timesheets list and therefore has a status of Submitted.
