Edit a Bulk Timesheet

Use this article to learn how to edit items directly on a bulk timesheet without opening individual timesheets.

Bulk timesheet approvers can edit, add, or delete items directly in Item View, depending on their user permissions.

⚠ Important: Your ability to edit, add, or delete timesheet items depends on your assigned permissions. Some actions may be restricted based on shift dates in the job schedule.


Edit a Bulk Timesheet

  1. Go to the Bulk Timesheets screen, enter your search criteria, then select Item View in the List Display field.
    The matching timesheets appear in Item View so you can view their item rows.

  2. Locate the timesheet you want to edit, then review the listed items.

  3. Edit any item fields highlighted in green. The editable fields depend on the item type and your permissions.

  4. Add new items if required, then edit the new item details.

  5. Delete any items that are no longer required.

  6. Click Save next to the edited timesheet.
    If any mandatory information is missing, the affected row is highlighted in red and an information icon appears. Enter the missing data, then save again.

πŸ“Œ Note: You must have permission to add items. You may only add items on shift dates defined in the job schedule.


Add a Timesheet Item to a Bulk Timesheet

Add a New Item

  1. Locate the relevant timesheet, then click the plus button.
    A blank item row appears beneath the timesheet.

  2. Select an option in the Item Type field, such as Attendance or Absence.
    Editable fields appear highlighted in green.

  3. Complete each highlighted field by selecting the correct option or entering the required value.

Copy an Existing Item

  1. Click the plus button next to the specific item you want to copy.
    A duplicate item appears directly beneath the original item.

  2. Edit the new item as needed. Editable fields are highlighted in green.

πŸ“Œ Note: Your permissions may prevent adding items or adding items on dates without a scheduled shift.


Delete a Timesheet Item from a Bulk Timesheet

Locate the item you want to remove, then click the delete icon next to it.
The item row is removed from the timesheet.

⚠ Important: If you do not have permission to delete an item that falls on a scheduled shift date, the system displays an error and the item is not deleted.

  • Always switch to Item View before editing bulk timesheets.

  • Review user permissions regularly to ensure approvers can complete required actions.

  • Check shift schedules before adding or deleting items to avoid permission-related errors.

  • Save frequently when editing multiple items to prevent data loss.

Q1: Why can’t I change the date of a timesheet item?

  • Answer: Changing an item date creates a new item. If you lack permission to add new items, the system prevents date changes.

Q2: Why am I unable to delete an item?

  • Answer: You may not have permission to delete items on dates with scheduled shifts. The system displays an error if the deletion is restricted.

Q3: Why are some fields not editable?

  • Answer: Only fields relevant to the item type and allowed by your permissions appear in green and can be updated.
