Use Conditional Variables in Agreements

Learn what conditional variables are, how they affect pay and bill rules, and how they are applied when you use a pay agreement on a job order in Recruitment Manager.

Conditional variables are additional conditions attached to a pay or bill agreement that decide which rules apply and when they can be used. They are custom-defined for each agreement so you can apply different pay or bill rates based on classifications such as role, grade, or level of experience.

⚠ Important: If a conditional variable is marked as mandatory, the user must select a value for it before the system allows the agreement to be applied to the job order.


Use Conditional Variables in Agreements

  1. Open Recruitment Manager, then open the relevant Job Order.

  2. Click Pay/Bill, then click Add Rates.

  3. Click Edit Pay Agreement, then click Add Rates to select the required pay agreement.

  4. Review the list of conditional variables that display for the selected agreement in the Add Rates screen.

  5. For each conditional variable, select the appropriate value (for example, Grade 1, Grade 2, or Grade 3).

  6. If any conditional variable is mandatory, ensure you select a value before you continue, otherwise the system does not allow you to apply the agreement to the job order.

  7. Confirm that the agreement name, along with the selected conditional variables and their values, appears in the Pay/Bill > Add Rates screen.

Understand Conditional Variable Examples

Conditional variables allow a single rule to handle multiple outcomes based on extra conditions.

In the example of a nurse pay agreement:

  • A nurse can be classified as Grade 1, Grade 2, or Grade 3.

  • The agreement sets different pay rates for each grade, based on experience and expertise.

  • You can define a single pay rate rule that uses a conditional variable such as Nurse Classification to decide which pay rate applies.

This means that:

  • The conditional variable describes the classification (for example, Nurse Classification).

  • The conditional variable values describe the specific type or level (for example, Grade 1, Grade 2, Grade 3).

  • The pay rate rule checks the conditional variable value and applies the correct pay rate for that grade.

Conditional variables can be used with both pay code rules and pay rate rules. If your agreement needs to vary pay or bill behaviour based on classification or other conditions, set up the necessary conditional variables before you create the corresponding pay or bill code and pay or bill rate rules in the agreement.
