Search Vacant Job Orders for Referrals

Use the Referral Workflow page to find vacant Job Orders you want to work on for candidate referrals. This article explains how to search for vacancies, review the results, manage the columns shown in the vacancy list, and use the referral action panel.

Search Vacant Job Orders for Referrals

  1. Go to Recruitment Manager, then click Jobs.

  2. Click Referral Workflow, then the Job Referral page opens.

  3. Enter one or more values in Vacant Job Order Search, then click Search.

  4. Review the matching results in Vacant Job List.


Search fields available on the page

Job and account details

  • Job Order Number

  • Parent Name

  • Client Name

  • Dept / Section

  • Cost Centre

  • Client Type

Job requirement details

  • Position Type

  • Skill Group

  • Position

  • Client Position

  • Type of Service

  • Job Order Advertised

Contact and ownership details

  • Order By

  • Site Contact

  • Report To

  • Job Creator

  • Job Owner

  • Client Owner

Organisational filters

  • Country

  • Brand

Use lookup buttons

Some fields include a lookup button with a magnifying glass icon.

  1. Click the lookup button beside a supported field, then search for the record you need.

  2. Select the correct record, then continue your search.

πŸ€“ Tip: Use the lookup button when you are not sure of the exact spelling or when the field must match an existing record.


Search panel buttons

The top right of the Vacant Job Order Search panel shows these controls:

  • Search runs the search using the values entered.

  • Reset clears the search fields.

  • The collapse or expand arrow collapses or expands the search section.


Search guidance

  • Use Job Order Number when you know the exact vacancy number and want the fastest result.

  • Use Parent Name or Client Name to find vacancies for a specific account.

  • Use Position Type, Skill Group, Position, or Client Position to narrow by role.

  • Use Type of Service or Job Order Advertised to narrow the vacancy type.

  • Use Job Creator, Job Owner, Client Owner, Order By, Site Contact, or Report To to narrow by ownership or contact.

  • Use Country, Brand, Region, or Office to narrow by business structure.

Example searches

Find one specific vacancy

  1. Go to Recruitment Manager, then click Jobs.

  2. Click Referral Workflow, then enter the value in Job Order Number.

  3. Click Search, then review the result in Vacant Job List.

Find vacancies for a client

  1. Open Referral Workflow, then enter the value in Client Name.

  2. Add Office or Job Owner if needed, then click Search.

  3. Review the vacancy list, then select the job you want.

Find vacancies for a skill group

  1. Enter values in Skill Group and Position Type, then click Search.

  2. Review the matching vacancies in Vacant Job List.


Manage the Vacancy List and Layout

After you run a search, matching results appear in Vacant Job List.

The screenshots show these visible columns in the vacancy grid:

  • Action

  • New Referrals

  • Client

  • Position Type

  • Job Order No

The grid may show more columns depending on your layout. If no results match your search, the grid shows No result found.


Buttons above the vacancy list

The buttons above Vacant Job List are:

  • Export exports the current vacancy list.

  • Reset Filter clears filters applied to the vacancy grid.

  • Manage Layout opens the layout manager so you can change which columns appear.

Change the grid layout

  1. Run a search, then click Manage Layout above Vacant Job List.

  2. Review the current columns, then use the available controls to update the layout.

  3. Click Apply, then the vacancy grid updates.

The Manage Grid Layout window shows these controls:

  • Up and down ordering controls.

  • A delete icon beside each current column.

  • Reset Layout.

  • Add Columns.

  • Apply.

  • Cancel.

These controls work as follows:

  • Reset Layout returns the vacancy grid to its default layout.

  • Add Columns opens the Add Column window so you can include more columns.

  • Apply saves the layout changes.

  • Cancel closes the window without saving.

  • The delete icon removes that column from the visible vacancy grid.

  • The up and down controls change the display order of selected columns.

The screenshots show these configured columns in the layout window:

  • New Referrals

  • Client

  • Position Type

πŸ“Œ Note: The Action column appears in the vacancy grid but not in the layout list. This suggests it may be a fixed system column rather than a removable layout column.

Add more columns

  1. Click Manage Layout, then click Add Columns.

  2. Select the columns you want to include, then click Add.

  3. Click Apply, then review the updated vacancy grid.

The Add Column window also shows these buttons:

  • Select All

  • Add

  • Cancel

When to use Manage Layout

Use Manage Layout when you want to:

  • Show more job details in the vacancy list

  • Include client ownership details

  • Display the job description or client position

  • Prepare the list for export

  • sSmplify the grid by removing columns you do not need


Use the Referral Action Panel

The right side of the page contains the referral action panel.

  1. Search for and select the vacancy you want to work on.

  2. Choose the action you need in the referral panel, then complete the next step for that action.

  3. Use the panel controls to export, add referrals, or search for available candidates.

The screenshots show these controls in the panel:

  • A small dropdown list.

  • Apply.

  • An undo or reset icon button.

  • Export.

  • Add Referral.

  • Search Available Candidate.

  • A collapse or expand arrow.

These controls work as follows:

  • The dropdown list is used to choose an action or list option before you click Apply. The exact values are not shown in the screenshots and may depend on your setup.

  • Apply runs the selected action against the current referral panel content.

  • The undo or reset icon appears to clear or reverse the current panel state or selection.

  • Export exports the information currently shown in the referral action panel.

  • Add Referral starts the process of adding a referral to the selected Job Order.

  • Search Available Candidate searches for candidates available for the selected vacancy.

  • The collapse or expand arrow collapses or expands the referral action panel.

Typical referral workflow

  1. Search for the vacancy in Vacant Job Order Search.

  2. Review the results in Vacant Job List.

  3. Select the vacancy you want to work with.

  4. Click Search Available Candidate to find matching candidates, or click Add Referral to start the referral process.

  5. Use the right-side panel controls to apply and manage the workflow.
