Use this article to create, edit, and delete timesheet delegations so Time and Attendance responsibilities can be temporarily handled by another eligible user.
โ Important: You must have the Delegation security permission in Time and Attendance to create, edit, or delete delegations.
Create a Delegation
In the left-hand menu of the Time and Attendance Maintenance area, click Delegation, then wait for the Delegation screen to open.
Click Delegate +, then confirm that the Create a Delegation pop-up displays.
In From User Type, select the user type currently assigned to the Timesheet Workflows (for example Agency User or Client Contact), then in To User Type, select the user type that will inherit the timesheets.
In Delegate From, look up and select the user currently assigned to the Timesheet Workflows, then in Delegate To, look up and select the user who will inherit the timesheets (only users with the same timesheet permissions are displayed).
For Client Contact delegations, select the relevant Client Contact entry in the lookup, then allow the system to create a delegation for each related client automatically so all timesheet possibilities are covered.
Enter the Start Date and End Date for the delegation period, then review the dates to ensure they cover the full period of delegation.
Click Save, then confirm that the delegation appears in the Delegations list; after the End Date passes, the delegation stops and the original From User will again see and manage their own timesheets.
๐ Note: For Client Contact delegations, the Delegate To list only shows contacts from the same client group (parent and child clients) as the Delegate From user.
Edit a Delegation
In the left-hand menu of the Time and Attendance Maintenance area, click Delegation, then wait for the Delegation screen to open.
Locate the delegation to edit in the Delegations list, then use the available search criteria if you need to filter a long list.
Click the Action list next to the relevant delegation, then check the options that display.
Click Edit, then confirm that the Edit a Delegation pop-up displays.
Update the required fields (noting that after the delegation Start Date, only the End Date can be changed), then review the updated dates and users for accuracy.
Click Save, then verify that the changed details are now visible in the Delegations list.
๐ Note: Editing a delegationโs End Date allows you to shorten or extend the delegation period without recreating the item.
Delete a Delegation
In the left-hand menu of the Time and Attendance Maintenance area, click Delegation, then wait for the Delegation screen to open.
Locate the delegation you want to delete in the Delegations list, then use the search criteria to quickly find it if the list is lengthy.
Click the Action list next to the relevant delegation, then review the options that display.
Click Delete, then confirm that the Delete a Delegation pop-up displays.
Click Delete again to confirm, then verify that the delegation is removed and timesheets are once again available to the original Delegate From user.
โ Important: Once deleted, the delegation no longer applies and cannot be restored; you must recreate it if you still require delegated access.
Best Practices
Create delegations ahead of planned leave or absence so timesheet approval and keying continue without delays.
Always set clear Start Date and End Date values to avoid delegations remaining active longer than necessary.
Use search criteria on the Delegation screen to regularly review active and upcoming delegations.
Prefer delegating to users who already work with the same clients or regions to minimise confusion.
Update the End Date rather than deleting a delegation if you simply need to shorten or extend the delegation period.

Q1: What happens when the delegation End Date is reached?
Answer: When the End Date passes, the delegation stops automatically and the original Delegate From user regains full access to their timesheets.
Q2: Why do I only see certain users in the Delegate To lookup?
Answer: The system only displays Delegate To users who have equivalent timesheet permissions and, for Client Contacts, who belong to the same client group (or greater) as the Delegate From user.
Q3: Can I change the Start Date after a delegation has begun?
Answer: No, once the delegation Start Date has passed, you can only edit the End Date; if you need a new period, you must create a new delegation.
Q4: Does deleting a delegation affect historical audit records?
