Understand Timesheet Notifications

Learn about automatic and general timesheet notifications, how they are delivered, and what each notification type means for your timesheet workflow.

This article explains how timesheet notifications are used within Mobile Timesheets to keep workflow participants informed about timesheets they initiate, approve, or monitor.


Understand Timesheet Notifications

Timesheet notifications help you track and manage timesheets where you are a workflow participant or a monitor. You can receive internal notifications within Mobile Timesheets and use them to see what action is needed, what has changed, or to discuss a specific timesheet with other workflow users.

Notifications can relate to timesheets you have:

  • Submitted as the initiator.

  • Been asked to approve as an approver.

  • Monitored as part of a workflow.

You can also send and receive general notifications about a timesheet and reply to other participants directly from Mobile Timesheets.

Automatic notifications

Automatic notifications are generated by the timesheet workflow. For example, if you are set up as a timesheet approver for a job order, you may receive an automatic notification each time a timesheet for that job order is submitted for your approval.

Automatic notifications can be delivered using one or more of these methods:

  • Email sent to your email address.

  • SMS message sent to your mobile telephone.

  • Internal notification message within Mobile Timesheets.

If you are a timesheet approver and receive notifications by email or SMS, you may receive grouped notifications instead of individual notifications. For example, if you approve timesheets for a large number of payees, the system can send one email or SMS per predefined period that lists all timesheets submitted for your approval since the end of the last period, instead of sending a separate message for each timesheet.

Automatic notification types

Depending on your role in the workflow (initiator, approver, or other participant), you may receive different notification types.

Notification Type

Description

Reminder

Notifies you that a timesheet you initiated is due to be submitted for approval. Also notifies you that a timesheet, for which you are an approver, has been submitted for your approval but you have not yet actioned it.

Escalation

Notifies you that a timesheet has not been actioned by an initiator or approver within a specified amount of time and has been escalated for your attention.

Approved

Notifies you that a timesheet you submitted for approval has been approved by an approver.

Rejected

Notifies you that a timesheet you submitted for approval has been rejected by an approver.

Recalled

Notifies you that a timesheet that had been submitted for approval has been recalled by the timesheet initiator.

Submitted

Notifies you that a timesheet has been submitted for approval.

General timesheet notifications

In addition to automatic notifications, you can receive general timesheet notifications from other workflow participants. These are usually used to ask questions or share information about a specific timesheet.

  • For example, if you are the initiator for payees’ timesheets, an approver may send you a general notification if they have a query about a timesheet you have submitted for approval.

General notifications are also received within Mobile Timesheets. You can reply directly to the sender of a general notification from within Mobile Timesheets, so that the full conversation stays linked to the timesheet it relates to.
