Link Oncosts to a Pay Code

Learn how to link Oncosts to a Pay Code for efficient paying & billing.

Pay codes can be linked to one or more bill and pay oncosts so that additional costs incurred by the agency for employing a payee and paying a payee's wages can be factored into bill calculations and gross wage reports respectively.


Link Oncosts to Pay Code

⚠️ Important: Bill and pay oncost can have multiple oncost rates, with different validity period.

  • The applicable oncost rate can differ during the validity period of the link between a pay code and an oncost.

  • It is important to ensure that the oncost to which you link a pay code has valid oncost rates defined for the entire link validity period.

To link an oncost to a pay code, follow the steps below:

  1. Open the Pay Code Entry Screen.

  2. Within the Linked Bill Oncosts field grouping or the Linked Pay Oncosts field grouping, click Add+. A new row will appear.

  3. Select the Name for the Oncost.

  4. Choose the Validity Start and End Dates for the Oncosts. Leave the End Date empty if you want the codes to last indefinitely.

  5. Repeat steps 2-4 to add more oncosts.

  6. Click Save.


Link Pay Code to Supplementary Pay Codes

To link a pay code to one or more supplementary pay codes, follow steps below:

  1. Open the Pay Code Entry Screen.

  2. Click the Supplementary Oncost Calculation Pay Codes tab & click Add+.

  3. Click the calendar icon to set up the Start and End date field the supplementary link is valid.

  4. In Pay Code field, select the relevant supplementary pay code.

  5. In the priority field, key the priority of the supplementary pay code, where a value of 1 is the highest priority.

  6. Repeat step 4 & 5 to add another pay codes.

πŸ“Œ Note: If there is an existing pay transactions against the pay code, the start date must be after the date that is shown in the Last (Timesheet/Pay Period) End Date field in the header. The date must also not overlap with other supplementary pay code validity period.
