Edit Existing Pay Agreements

Learn how to edit or delete existing pay agreement components based on the last timesheet end date, validity dates, and hierarchy rules.

This article explains the rules for changing different parts of an existing pay agreement. It shows what you can edit or delete in the agreement header, primary interpretation header, primary interpretation rules, and secondary interpretation rules, depending on the dates and whether the agreement is in use.


Edit Existing Pay Agreements

  1. Identify which part of the pay agreement you need to change (agreement header, primary interpretation header, primary interpretation rules, or secondary interpretation rules).

  2. Check the Last Timesheet End Date field on the agreement header.

  3. For the component you are changing, compare the Last Timesheet End Date with the relevant Start Date to decide what can be edited or deleted using the rules below.

Agreement Header

When the Last Timesheet End Date is blank

If the Last Timesheet End Date field in the agreement header is blank:

  • You can edit all attributes in the agreement header.

  • You can delete the agreement header if the agreement is not assigned to a job order or job order template.

  • Pay rate rules on the agreement must be:

    • Assigned to the same hierarchy level and hierarchy value as the agreement header, or

    • Assigned to a lower hierarchy value than the agreement header.

  • If you change the hierarchy level or hierarchy value in the agreement header:

    • You may also need to change the hierarchy level and hierarchy value on existing pay rate rules, or

    • Delete pay rate rules that are no longer valid and would clash with the new hierarchy level and hierarchy value at the agreement header level.

When the Last Timesheet End Date is equal to or later than the header Start Date

If the date in the Last Timesheet End Date field is equal to or later than the date in the Start Date field of the agreement header:

  • You cannot edit any agreement header attributes except the validity period End Date.

  • You can only change the validity period End Date to a date that is not earlier than the Last Timesheet End Date.

  • You cannot delete the agreement header.

πŸ“Œ Note: You cannot add or remove conditional variables from an agreement header once the pay agreement is assigned to a job order or job order template. Attachments can be added to or removed from the agreement header at any time.

Primary Interpretation Header

When the Last Timesheet End Date is blank

If the Last Timesheet End Date field in the agreement header is blank:

  • You can edit the Start Date and End Date of the primary interpretation header validity period.

  • You can delete the primary interpretation header.

When the Last Timesheet End Date is equal to or later than the primary interpretation header Start Date

If the date in the Last Timesheet End Date field in the agreement header is equal to or later than the date in the Start Date field of the primary interpretation header:

  • You cannot edit the Start Date of the primary interpretation header validity period.

  • You can edit the End Date, but you cannot set it to a date earlier than the Last Timesheet End Date in the agreement header.

  • You cannot delete the primary interpretation header.

When the Last Timesheet End Date is earlier than the primary interpretation header Start Date

If the date in the Last Timesheet End Date field in the agreement header is earlier than the date in the Start Date field of the primary interpretation header:

  • You can edit both the Start Date and End Date of the primary interpretation header validity period.

  • Both dates must be set to dates that are later than the Last Timesheet End Date in the agreement header.

  • You can delete the primary interpretation header.

πŸ“Œ Note: Deleting a primary interpretation header also deletes all primary interpretation rules that belong to that primary interpretation header.

Primary Interpretation Rules

(Time Rounding Rule, Midnight Boundary Rules, Unpaid Break Rules)

When the Last Timesheet End Date is blank

If the Last Timesheet End Date field in the agreement header is blank:

  • You can edit the primary interpretation rules.

  • You can delete the primary interpretation rules.

When the Last Timesheet End Date is equal to or later than the primary interpretation header Start Date

If the date in the Last Timesheet End Date field in the agreement header is equal to or later than the date in the Start Date field of the primary interpretation header to which the rules belong:

  • You cannot edit the primary interpretation rules.

  • You cannot delete the primary interpretation rules.

When the Last Timesheet End Date is earlier than the primary interpretation header Start Date

If the date in the Last Timesheet End Date field in the agreement header is earlier than the date in the Start Date field of the primary interpretation header to which the rules belong:

  • You can edit the primary interpretation rules.

  • You can delete the primary interpretation rules.

Secondary Interpretation Rules

(Pay Code Rules, Pay Rate Rules)

When the Last Timesheet End Date is blank

If the Last Timesheet End Date field in the agreement header is blank:

  • You can edit the secondary interpretation rules.

  • You can delete the secondary interpretation rules.

When the Last Timesheet End Date is equal to or later than the rule Start Date

If the date in the Last Timesheet End Date field in the agreement header is equal to or later than the date in the Start Date field of the rule:

  • You can edit only the End Date field of the rule.

  • You can only set the End Date to a date that is later than the date in the Last Timesheet End Date field in the agreement header.

  • You cannot delete the rule.

When the Last Timesheet End Date is earlier than the rule Start Date

If the date in the Last Timesheet End Date field in the agreement header is earlier than the date in the Start Date field of the rule:

  • You can edit all attributes of the rule.

  • The Start Date and End Date of the rule validity period can only be set to dates that are later than the Last Timesheet End Date in the agreement header.

  • You can delete the rule.
