Create and Manage Source Codes

Use Source Codes to identify where information originates within Recruitment Manager and Timesheet Import.

Source Codes help you classify the origin of records across Recruitment Manager and Timesheet Import. These can be applied to Client, Job Order, Referral, and Candidate records.

  • In Timesheet Import, you can also define Source Codes for import batches - for example, to label the source of imported timesheet data.

⚠️ Important: Only users with permission to access Maintenance can create, edit, or delete Source Codes.


Create a Source Code

  1. Go to Maintenance, then click Source.

  2. Above the Source list, click Add.

  3. Enter the details for the Source Code, including Name, Record Type, and Description.

  4. Tick Active to make the code available for use.

  5. Click Save.


Edit a Source Code

  1. Go to Maintenance, then click Source.

  2. Find the Source Code you want to update and click Edit.

  3. Update the relevant fields, then click Save Changes.


Delete a Source Code

  1. Go to Maintenance, then click Source.

  2. Locate the Source Code you want to remove.

  3. Click Action, then select Delete next to the item.

  4. Click Delete to confirm.

  5. Click OK to complete the process.

  • Review Source Codes regularly to remove duplicates or outdated entries.

  • Keep naming conventions consistent to simplify reporting and search.

  • Ensure only authorized users manage Source Codes to maintain data accuracy.

Q1: What happens if I try to delete a Source Code that’s in use?

  • Answer: The system displays a hard warning, and the Source Code cannot be deleted until it is no longer referenced.

Q2: Can I deactivate a Source Code instead of deleting it?

  • Answer: Yes. Untick Active to make the code unavailable without removing it from the system.
