Vincere to FastTrack Error Handling

Quick reference for common Vincere–FastTrack360 integration errors with simple fixes.

This article lists common error messages when syncing placements, job orders and timesheets between Vincere and FastTrack360.
Each error has its own section. You can paste a screenshot under the matching error and keep the Error message line so the bot can recognise it.


Error message: Can only submit if there is a pay and bill agreement assigned.

Issue: There are no pay and bill agreements or rates associated to the placement / job order.

  • Resolution: Add the rates or pay and bill agreement in the widget inside FastTrack.


Error message: Filled by user is used in timesheet workflow initiator settings but does not have a portal user with the required timesheet entry permissions.

Issue: The timesheet workflow in FastTrack requires the user to have a portal to be able to undertake timesheet completion.

  • Resolution: Update timesheet workflow for the placement / job order to suit the requirement. If using TT then update the timesheet workflow appropriately to match.


Error message: Filled by user is used in timesheet workflow approval level but does not have a portal user with the required approve reject recall timesheet permissions.

  • Resolution: Update timesheet workflow for the placement / job order to suit the requirement. If using TT then update the timesheet workflow appropriately to match.


Error message: Filled by user is used in timesheet workflow escalation settings but does not have a portal user with the required approve reject recall timesheet permissions.

  • Resolution:Update timesheet workflow for the placement / job order to suit the requirement. If using TT then update the timesheet workflow appropriately to match.


Error message: Filledbyuser is required, while assigning a candidate to a joborder

Issue: A filled by user is required on the placement inside of Vincere. Generally this occurs only when a placement has come from migration in initial set up.

  • Resolution: Professional services team need to update the placed by user in Vincere.


Error message: Cannot submit job order to timesheet. the filled candidate does not have a valid payee record for the duration of the job order based on the pay company, tax type and payee type.

Issue: No payee record exists for this candidate inside of FastTrack.

  • Resolution:Complete payee set up in FastTrack.


Error message: Candidate status must not be applied,archived,inactive,unsolicited,filled prior to filling job

Issue: The candidate has a non active status in FastTrack.

  • Resolution: Change the status of the candidate in FastTrack.


Error message: Work type must be filled for this job order.

Issue: The job order in FastTrack requires a work type to be completed.

  • Resolution: This is usually done as part of the Job Template set up in FastTrack, however if no job template is being used then this will need to be manually updated on the placement FastTrack widget.


Error message: The filled candidate does not have a payee record assigned to pay group for the duration of the job order.

Issue: The candidate’s payee record is not linked to the correct pay group for payroll processing.

  • Resolution: Either update the placement to link to the correct pay group or add a payee record for this pay group.


Error message: Default security role is not available for the selected user type

Issue: No default security roles have been configured in FastTrack for this user type.

  • Resolution: Add security role to the user type in the maintenance section of FastTrack.


Error message: Enter a valid StatusId

Issue: Status field is missing from the entity.

  • Resolution: Open the indicated record and update the status of the record.


Error message: Enter a valid Contact InActiveReasonId

Issue: This error can appear when the default value is set as ‘inactive’ and the user that will send the entity changed it to ‘active’ or vice versa. In FastTrack360, a reason is required from the user when the said status will be changed.

  • Resolution: Status per entity should be set as Active.


Error message: ownerUserId: expected string value

Issue: Can happen when the entity doesn’t have an owner in Vincere.

  • Resolution: Ensure that there is an active user added to the record.


Error message: A cost centre record with this name and / or code already exists for this client, each cost centre must have a unique name and code.

Issue: Cost Centre / Location already exists.

  • Resolution: A Company location must not have the same location name as an existing location / cost centre.


Error message: Email is not available for order by contact

Issue: Email is not found in the contact.

  • Resolution:Open the contact record and add an email address.


Error message: Enter a valid positionID

Issue: Position field is blank on the Job Details page.

  • Resolution: Select from the drop down in Position Field. If there are no dropdown items available, make sure the Skill Group field has also been populated.


Error message: Actual Address: 2 lines of address do not exist

Issue: Address does not exist for the said entity.

  • Resolution: Open the record and navigate to the location or address section and ensure that there are 2 address lines in the record.


Error message: Oops an error has occurred. please retry your operation.if the error re-occurs or persists please provide your fasttrack administrator with details that include the steps you were performing that’ll reproduce the error and the below error number. they will log the issue with fasttrack’s customer service team.error number: 5512

Issue: This error appears when there is a breaking change between API Version used in FastTrack360.

  • Resolution: Navigate to the Marketplace and go to the FastTrack360 tile and update the API version to the latest version.


Error message: null32

Issue: User A have succcessfully synced a placement to become a job order record in FastTrack360 (for example ID 10002222). However, User 2 have deleted the job order record inside FastTrack360. When User 1 updates the placement again, they will receive this error. Job Order got deleted in FastTrack360 when it was already synced from Vincere.

  • Resolution: A new job order and placement is required to be created in Vincere as all links have been removed due to the job order in FastTrack being deleted.


Error message: Complete terms and conditions prior to creating a new joborder.

Issue: Client Terms & Conditions Mandatory toggled on in FastTrack.

  • Resolution: Go to FastTrack360 and toggle off the terms and conditions being mandatory.
