Add, Edit, or Delete Attendance Items on a Mobile Timesheet

Add, edit, or delete attendance, break, and project items on mobile timesheets so they accurately reflect the payee’s actual work hours and absences.

Use this article to add, edit, or delete attendance items on a mobile timesheet so it reflects the payee’s actual time worked and any absences.

Attendance items can be used on:

  • Timesheets for agreement rates job orders (generally required).

  • Timesheets for standard rates job orders where it is necessary to capture work start and end times.

Depending on the job order, the timesheet may be pre-populated with attendance items from the job schedule. In that case, you only need to change attendance items if the actual hours differ (for example overtime or absence).


Add an Attendance Item

To add an attendance item, open the relevant timesheet from the Available Timesheets or Incomplete Timesheets screen, then follow these steps.

  1. On the Attendance tab of the timesheet entry screen, click Add.

    • The Attendance tab expands and a new attendance item is displayed.

    • If attendance items already exist, the Work Date defaults to the day after the last attendance item and all other fields default to the same settings as the last attendance item.

    • If no attendance items exist, the Work Date defaults to the first valid work date on the timesheet and all other fields are blank.

  2. If the Work Date is not correct, click the Work Date field and use the date control to select the correct date.

  3. If the Attendance Type is not correct or is blank, click the Attendance Type field and use the list control to select the relevant attendance type.

  4. Set or change the Start Time by clicking the Start Time field and using the time control to select the correct start time.

  5. Set or change the End Time by clicking the End Time field and using the time control to select the correct end time.

  6. Add one or more break items if necessary. (See Add a Break Item below.)

  7. Add one or more project items if necessary. (See Add a Project Item below.)

  8. At the top of the screen, click Save.

    • The changes are saved and the timesheet closes.

    • If the timesheet status was Available, the status changes to Incomplete and the timesheet moves to the Incomplete Timesheets list.


Add a Break Item

To add a break item to the new attendance item:

  • If there are existing attendance items on the timesheet, one or more break items may already exist on the new attendance item based on the last attendance item on the timesheet.

  • You can check existing breaks on the Break Items tab.

Then:

  1. On the Break Items tab of the timesheet, click Add.

    • The Break Items tab expands and a new break item is added so you can specify start and end times.

  2. If the Start Time is not correct or is blank, click the Start Time field and use the time control to select the correct start time.

  3. If the End Time is not correct or is blank, click the End Time field and use the time control to select the correct end time.

  4. Repeat steps 1–3 as many times as required to add more than one break item to the attendance item.

If you make a mistake while adding a break item, you can delete it by clicking X on that break row.


Add a Project Item

Project codes are required only where costs for the job order must be tracked against specific client projects. In that case, all attendance items must be allocated to a project code.

To add a project item to the new attendance item:

  • If there are existing attendance items on the timesheet, one or more project items may already exist on the new attendance item based on the last attendance item.

  • You can check existing project items on the Project Items tab.

Then:

  1. On the Project Items tab of the timesheet, click Add.

    • The Project Items tab expands and a new project item is added.

    • The Start Time and End Time of the project item default to the start and end times of the attendance item.

  2. If necessary, change the Start Time and/or End Time by clicking those fields and using the time control to select the correct times.

    • If project items are required, the entire duration of the attendance item, excluding break times, must be allocated to a project item.

  3. Click the Project Code field and key in the unique project code for the corresponding client project.

  4. Repeat steps 1–3 as many times as required if you need more than one project item for the attendance item.

If you make a mistake while adding a project item, you can delete it by clicking X on that project row.


Edit an Attendance Item

To edit an attendance item, open the relevant timesheet from the Available Timesheets or Incomplete Timesheets screen, then:

  1. Click the Attendance bar on the timesheet entry screen.

    • The Attendance bar expands and displays all attendance items on the timesheet.

  2. Scroll down if necessary until you find the required attendance item, using the Work Date field to help locate it.

  3. In the Work Date, Attendance Type, Start Time, and End Time fields, select a different date, attendance type, start time, and/or end time as needed.

    • For example, to change the work date, click the Work Date field and use the calendar control to select the correct date.

  4. To add a break item, click Add next to the Break Items bar and change the default start and end times if necessary.

  5. To edit break items, click the Break Items bar and change the start and end times as required, or click X under a break item to delete it.

  6. To add a project item, click Add next to the Project Items bar, adjust the default start and end times if necessary, and key in the project code.

  7. To edit project items, click the Project Items bar, then change the start time, end time, and/or project code, or click X if a project item is not required.

  8. At the top of the screen, click Save to save changes, or click Submit if there are no more changes and the timesheet is ready for approval.

    • The timesheet is saved and is added to the Available Timesheets list, or

    • The timesheet is submitted for approval and is added to the Submitted Timesheets list.


Delete an Attendance Item

To delete an attendance item, open the relevant timesheet from the Available Timesheets or Incomplete Timesheets screen, then:

  1. Click the Attendance bar on the timesheet entry screen.

    • The Attendance bar expands and displays all attendance items on the timesheet.

  2. Scroll down if necessary until you locate the relevant attendance item, using the Work Date field to identify it.

  3. At the bottom of that attendance item, beneath the Project Items bar, click X.

    • The attendance item is deleted from the timesheet.

  4. At the top of the screen, click Save to save changes, or click Submit if there are no more changes and the timesheet is ready to be submitted.

    • The timesheet is saved and is added to the Available Timesheets list, or

    • The timesheet is submitted for approval and is added to the Submitted Timesheets list.
