This article explains how to create a timesheet import batch from a file, choose the correct delimiter and source, apply adjustment reasons, and map file columns to FastTrack fields so that timesheets are created correctly in the Time and Attendance module. It also covers what happens if file validation or field mapping fails.
Processing Timesheet Import Batches
Click Time and Attendance, then click Timesheet Import.
In the Batch List section, click Add.
Next to the Import File field, click the Download button.
In the Choose File to Upload dialog box, navigate to the location where the import file is saved, then click the file you want to import.
Click Open.
If the import file uses a field delimiter other than a comma, select the character used to separate fields from the options in the Delimiter field.
If the file uses a delimiter other than a comma, pipe, or tab, select Other, then enter the delimiter in the Delimiter Character Type field.
If required, select an option in the Source field to identify where the timesheet data is being imported from (for example, a specific third-party clocking system).
This allows you to search for timesheets in Time and Attendance based on their origin.If the timesheets in the file are adjustment timesheets and you want to apply the same Adjustment Reason to every timesheet, select an Adjustment Reason Default.
If you apply an Adjustment Reason Default, the system ignores any adjustment reasons included in the import file and uses the default instead.
Click Next.
The system attempts to read and validate the import file. If successful, the Import Settings screen opens and the column headers from the file appear under Column Header in the Field Mappings section.If validation fails, the system shows an error message and does not create the import batch.
In the Import Template field, select the template that defines the field mappings for the import.
Alternatively, in the Map to Field column in the Field Mappings section, select the FastTrack field that corresponds to each column header from the import file.
If you manually define field mappings, save them as a template if you want to reuse the same mappings in future imports.
After every column header is mapped to a FastTrack field, click Queue Batch.
The system validates the field mappings.If they are valid, it queues the import batch for processing.
If the mapping is invalid, the system shows an error message and does not queue the batch.
