Use this article to view, search, edit, and delete Time & Attendance notification templates so that your timesheet-related emails, SMS messages, and in-app notifications stay accurate and up to date.
β Important: Changes to notification templates apply to all future notifications that use that template. Always review your updates carefully before saving or deleting a template.
View and Search Notification Templates
Go to Recruitment Manager, then click Maintenance.
In the Time & Attendance area, click Templates. The Template screen displays.
In the left-hand Categories pane, click Timesheet. The Template Maintenance screen opens.
Click the notification channel folder you want to view, such as Email, SMS, or Notification, then review the list of templates in the right-hand pane.
Scroll through the list or use any available filters or search options, then locate the notification template you need.
π Note: Templates are grouped by type in the left-hand Categories pane, so ensure you select the correct folder (for example, Email) before looking for a specific template.
Edit an Existing Notification Template
Go to Recruitment Manager, then click Maintenance.
In the Time & Attendance area, click Templates. The Template screen displays.
In the left-hand Categories pane, click Timesheet, then select the relevant notification channel folder such as Email, SMS, or Notification.
In the right-hand pane, find the template you want to update, then click the Action menu to the right of that template. The Action drop-down menu displays.
Click Edit, then wait for the template to open in edit mode.
Update the template fields as required, such as the subject and message text, then click Save.
Confirm that the success or confirmation message appears, then close the template or continue editing other templates as needed.
π€ Tip: When creating a new version of a similar message, edit an existing template and save it as a new template (if your system supports this) to keep formatting and structure consistent.
Delete Existing Notification Templates
Go to Recruitment Manager, then click Maintenance.
In the Time & Attendance area, click Templates. The Template screen displays.
In the left-hand Categories pane, click Timesheet, then select the relevant notification channel folder such as Email, SMS, or Notification.
In the right-hand pane, locate the notification template you want to remove, then click the Action menu to the right of that template. The Action drop-down menu displays.
Click Delete, then review the confirmation message that appears.
Confirm the delete action, then verify that the template no longer appears in the list.
β Important: You cannot delete a notification template that is currently referenced by a notification. If an error message appears when you try to delete a template, edit the related notification so that it no longer uses that template, then try deleting the template again.
π‘ Best Practices
Review notification templates whenever your timesheet or approval processes change, then update the wording so that it matches the new process.
Use clear and concise language in subjects and message text, then test notifications to ensure recipients understand the action they need to take.
Group similar templates logically by type (Email, SMS, Notification), then keep naming conventions consistent so templates are easy to find.
Avoid deleting templates immediately; consider renaming or disabling their use first, then delete them only when you are sure they are no longer required.

Q3: What types of notification templates can I manage from the Template Maintenance screen?
