Create a New Reason Code

Use this process to create a new adjustment or unavailability reason in the system.

The Reason Code Maintenance screen lets you define and manage the list of reasons available for adjustments or other activities.


Add a New Reason Code

  1. Go to Maintenance, then select Global Section.

  2. Click on Reasons and click Add.

  3. Select a Reason Group from the available list.

  4. If Adjustment Reason is selected, in the Country field, choose the country to which the adjustment reason applies.

  5. If Adjustment Reason is selected, enter a Description.

  6. If Adjustment Reason is selected, tick Default Reason if it should automatically apply to credit notes created through the Invoice Batch process.

  7. If Adjustment Reason is selected, enter Validity Dates to define the active period for the reason.

  8. If Candidate Other Unavailability Reason is selected, tick the option to make the reason visible for selection in the Candidate Portal.

  9. In the Name field, enter a unique name for the reason.

  10. In the Description field, type a clear explanation of the adjustment reason’s purpose.

  11. Enter the Reason text that should appear in the selection list.

  12. Click Save.

📌 Note:

  • Only one adjustment reason can be set as the default per country.

  • Leave this blank if the adjustment reason should remain available indefinitely.

  • Use concise and descriptive reason names for clarity in reports and automation.

  • Regularly review and deactivate outdated adjustment reasons.

  • Ensure only authorized users can modify or delete existing reasons.

  • Answer: No. Only one default adjustment reason can be assigned per country.

Q2: What happens if I don’t set validity dates?

  • Answer: The adjustment reason remains active indefinitely until manually deactivated.
