Configure a Pay Company for Payday Filing

Steps to configure your pay company record in FastTrack360 to enable and authorise Payday filing with the IRD.

Configure a Pay Company in FastTrack360 to enable Payday filing and authorise FastTrack360 to submit Payday information to Inland Revenue (IRD).

To use Payday filing, you must:

  1. Enable Payday reporting on the Pay Company.

  2. Authorise FastTrack360 to communicate with IRD through myIR.

⚠️ Important: Before you begin, make sure you have:

  • The date the Pay Company will start using Payday filing.

  • The myIR user ID and password for the Pay Company.

  • An email address and mobile number for authentication failure notifications.

FastTrack must also register the return Universal Resource Identifier (URI) for your FastTrack360 environment through the IRD Developer Portal before you can use Payday filing.

  • If you are unsure whether your URI has been registered, contact FastTrack Client Support.


Enable Payday reporting

To enable Payday filing for a Pay Company:

  1. Go to Payroll New Zealand > Maintenance > Pay Company.

  2. Search for and open the relevant Pay Company.

  3. In the Payday Reporting section at the top of the screen, select Payday Enabled.

  4. In Date From, select the earliest Pay Batch payment date that you want to report through Payday filing.

  5. If you provide outsourced payroll services for a client, enter your organisation's IRD number in Intermediary IRD Number.

    Use this field when the Pay Company belongs to your client and your organisation provides payroll services on their behalf.

  6. Click Save.

📌 Note: Selecting Payday Enabled makes the Payday Reporting tab available on the Pay Company record.

You use this tab to:

  • Authorise FastTrack360 to submit Payday information to IRD.

  • Configure authentication error notifications.

Access to the authorisation functionality is controlled by user security permissions. For more information, see Payday Filing Security Permissions.


Authorise FastTrack360 with IRD

After enabling Payday reporting, authorise FastTrack360 to communicate with IRD on behalf of the Pay Company.

  1. Open the relevant Pay Company.

  2. Select the Payday Reporting tab.

    Before authentication, Authentication Status displays Not Initiated.

  3. In IRD Authentication Details, click the refresh button.

    The status changes to Pending, and the myIR login page opens in a new browser tab.

  4. Enter the Pay Company's myIR user ID and password.

  5. Click Login.

  6. Review the consent statement and conditions of use.

  7. Click Authorise to allow FastTrack360 to communicate Payday filing information to IRD.

    If you do not authorise FastTrack360, you cannot submit Payday filing information through FastTrack360.

  8. Return to FastTrack360 and confirm that Authentication Status displays OK.

  9. In IRD Authentication Error Notifications, enter the required:

    • Email Address

    • Mobile No.

  10. Click Save.

FastTrack360 is now authorised to submit Payday filing information for the Pay Company.

📌 Note: myIR may prompt you to configure two-step verification during authentication.

If you enable two-step verification, you may need to scan a QR code or enter a verification code sent to your mobile device when signing in.


If the authentication status is Failed

⚠️ Important: If Authentication Status changes to Failed, the authentication process was unsuccessful.

Try the following:

  1. Click the refresh button again and repeat the authentication process.

  2. If the status does not change to OK, check the IRD website for any reported online service outages.

  3. If IRD services are unavailable, retry authentication after the service is restored.

  4. If authentication continues to fail, contact FastTrack Client Services.


Change the IRD number for a Pay Company

You can update the IRD number directly on the Pay Company record in FastTrack360.

However, Payday filing uses an authentication token linked to the myIR account. After changing the IRD number, you must re-authenticate the connection with IRD.

FastTrack Support does not normally need to make any backend changes.

⚠️ Important: We recommend changing the IRD number when there are no active or in-progress Payday filing submissions.

Step 1: Update the IRD number

  1. Go to Payroll New Zealand > Maintenance > Pay Company.

  2. Search for and open the relevant Pay Company.

  3. Update the IRD Number.

  4. Click Save.

Step 2: Re-authenticate with myIR

After changing the IRD number:

  1. Open the Payday Reporting tab on the same Pay Company.

  2. In IRD Authentication Details, start the authentication process again.

    This replaces the existing authentication token and redirects you to the myIR login page.

  3. Sign in using the myIR user ID and password associated with the updated IRD account.

  4. Authorise FastTrack360 as the software service provider.

  5. Return to FastTrack360.

  6. Confirm that Authentication Status displays OK.

  7. Click Save if required.

⚠️ Important: Do not continue with Payday filing until the authentication status displays OK.
