Custom fields are defined at system level and apply to all billing companies. You can either delete a field permanently or make it inactive so that existing data is retained.
⚠️ Important: These changes affect all billing companies, not just one billing company.
Delete a Custom Field Permanently
Deleting a custom field permanently removes the field and any values entered against it from all billing companies.
Go to Dashboard then Maintenance then Custom Fields.
Locate the custom field you want to remove.
Click the Action dropdown next to the field, then select Delete.
Confirm the deletion when prompted.
The custom field will be permanently removed and will no longer appear on any records.
Make a Custom Field Inactive
Making a custom field inactive hides it from billing companies going forward while retaining existing data for historical reference.
Go to Dashboard then Maintenance then Custom Fields.
Locate the custom field you want to disable.
Click the dropdown next to the field, then select Edit.
In the Edit Custom Fields window, clear the Active checkbox.
Click Save Changes.
The custom field will be hidden from all billing companies going forward, but existing data will remain in the system.
Check Document Formats Before Making Changes
Billing company custom fields, such as BillingCompanyCustomField1 and BillingCompanyCustomField2, can be referenced in invoice and credit note templates.
Before deleting or making a custom field inactive, check whether it is used in any document formats. Removing or disabling a field may affect how invoices and credit notes are generated for billing companies using those templates.
💡 Best Practices: Make the field inactive instead of deleting it if you need to retain historical information.
